Hotel Ballrooms and the Wedding Before Yours
A hotel ballroom is a room that gets reused, and the schedule of what happens in it before and after your wedding sets most of the day's constraints.

Hotel ballrooms are the most operationally reliable wedding venue in the United States and the most constrained, for the same reason: the room is inventory that has to keep turning.
The room turn defines your access
A ballroom may host a corporate lunch the same day, which means setup for a wedding cannot begin until that event is cleared.
Hotels are good at this and will execute a turn in a few hours, but the couple's access window is whatever remains, and it is not negotiable on the day.
Anything requiring long installation, such as elaborate florals, draping or a custom lighting rig, has to fit inside that window or be simplified.
Everything in-house is a package with edges
Hotels supply catering, bar, tables, chairs, linens and often audiovisual, which removes coordination work and removes choice at the same time.
Outside catering is rarely permitted, and outside alcohol almost never, because the hotel holds the liquor license and the liability that comes with it.
Bringing an outside vendor for something the hotel provides usually triggers a fee, which exists to protect revenue the hotel expected from the room.
Air walls and neighboring events
Large ballrooms divide with movable partitions, which are acoustic compromises rather than walls. A conference next door is audible, and so is your band.
Asking what else is booked in the adjoining sections on your date is a reasonable question, and hotels will usually tell you what they know at the time.
Exclusive use of an entire ballroom removes the problem and costs accordingly, which is often the difference between two quotes for the same room.
Guests sleeping upstairs changes the evening
The practical advantage of a hotel wedding is that guests do not travel afterwards, which affects drinking, departure timing and how long the party continues.
It also gives a natural place for the day-before and morning-after gatherings, and for getting ready without moving anybody between locations.
The trade is that a hotel is a public building. Other guests will walk through your event's edges, and the lobby is not yours.
What is negotiable in a hotel contract
Hotels negotiate more than couples expect, because they are managing an inventory of dates and are motivated on the ones that are not selling.
Room block terms, parking rates for guests, a suite for the couple, ceremony space and setup fees are all common concessions.
The food and beverage minimum is generally the hardest number to move, because it is the mechanism by which the room is priced at all.
Questions readers ask
Is a package always more expensive?
Not once you cost everything a blank canvas requires, including hire, staffing, facilities and coordination. The comparison only works when both are fully costed.
Can we use a blank canvas venue without a coordinator?
It is possible with enough time and a reliable group of helpers, but somebody has to run the setup and the day. If that person is you, plan on being unavailable for most of your own morning.
